Job Description

Overall Purpose of this Post

The Head of Finance (HOF) is responsible for managing all day to day financial administration, pensions and payroll activities of the restaurants as well as ensuring all the statutory accounting and reporting functions are fulfilled. This role also assists the Managing Director in the overall strategic financial and operational development of restaurants.

Summary of the Role

Day-to-day responsibility for all aspects of the finances including payroll, accounting, financial reporting and financial management.

Working with staff from across all departments of COSMO, the HOF will be expected to ensure accurate accounting and reporting for both internal and external purposes. Operation and monitoring of appropriate financial controls are also an important element of the role.

This role reports to the MD but will often be required to exercise his/her own judgement and operate independently much of the time.

Main Duties

* Financial Management

* Document, implement and operate financial controls as necessary and appropriate to an organisation of COSMO’s size and complexity.

* Monitor and review the effectiveness of financial controls to ensure that they always remain appropriate.

* Working with budget holders, prepare the annual budget for approval by the MD.

* Monitor all payments to employees and ensure that all relevant regulations (e.g. relating to benefits in kind) are being complied with.

* Ensure compliance with all relevant financial legislation, regulations and guidelines such as VAT, HMRC, etc.

* Administer and manage the payroll system and all associated tax and statutory returns.

* Administer the pension scheme, complete end of year pension returns and liaise with auditors to ensure accurate and timely preparation of the pension fund accounts.

* Monitor and manage cash flows to maximise interest receivable.

* Maintain strong working relationships with bankers, auditors and investment managers.

Finance Administration

* Manage staff in the Finance Department, monitoring their work, setting targets and carrying out regular appraisals.

* Liaise with staff from other departments as necessary, providing proactive support and advice on financial issues as needed.


* The operation of the purchase ledger ensuring that invoices are accurately recorded in the accounting system and that suppliers are paid within agreed credit terms.

* Ensure relevant accounting reconciliations (bank, intercompany, etc.) are carried out on a regular basis.

* The smooth operation of the monthly payroll and ensure that all relevant requirements relating to PAYE, etc. are complied with.

Financial Reporting

* Prepare monthly management accounts and budget-holder reports and report on these identifying and explaining any significant trends or variances.

* Prepare other financial reports on specific activities and performances as needed.

* Draft annual financial statements and supporting papers in line with the relevant reporting requirements.

* Prepare the year-end file for the auditors and oversee the annual audit.

* Ensure accurate and timely submission of HMRC reports.

Person Specification

* ACCA or equivalent qualification is a MUST

* Stable work resume, including at least 5 years of work experience as Finance Manager in Hospitality industry

* Tax knowledge is preferable but not essential

* Experience of running a finance and general administration department in a similar sized organisation

* Capable of managing multiple responsibilities and able to deliver to strict deadlines

* Strong IT knowledge and experience

* Effective and easy communication style, able to relate to a wide range of people

* Strong influencing skills and able to contribute effectively to strategy as part of the Senior Management Team

* Proven experience of working effectively with non-finance staff and contributing to wider organisational aims outside of the traditional finance remit
