Job Description
We are looking for a competent Part Time Administrator with HSEQ experience on a 12 month contract basis to cover maternity leave.

Objective
To assist the HSEQ Projects Facilitator (PF) in organising and administering processes that support the Institute's HSEQ goals and objectives within OHSAS 18001/ISO45001, ISO9001 & ISO 14001 management systems.
Duties & Responsibilities
HSEQ Data Systems Administration
Administration of HSEQ software (including data entry of new starters, removal of leavers and associated procedures).
Assist in liaising with software suppliers of above systems for any issues raised via our stakeholders.
Assist HSEQ Team with the administration of approved documentation i.e. policies, procedures, guidance & process maps.Organisation of HSEQ Training Courses
Assist (PF) in setting up the schedule of HSEQ training courses and advertisement via the Learning & Development interface.
Organisation of courses via liaison with internal and external trainer providers.
Point of contact for HSEQ training enquiries.
Administration of training attendance records including downloading weekly reports and updating staff and students training records on L&D.
HSEQ Team Administration
Assist with triaging emails to shared inbox and directing enquiries to relevant HSE advisor.
Administration of the Institute's eye care voucher scheme & liaison with external supplier.
Assist HSEQ Team in organising annual HSEQ external audits.
Generate purchase orders on behalf of the team for services, consumables & other. Code invoices for authorisation/signature via Procurement software.
Book meetings, conferences and arrange associated travel and accommodation as required. Committee Secretariat/Other Meetings Administration
On occasion provide secretariat support for HSE committees and other HSEQ related meetings. This will include liaison with Committee officers and other staff, agenda preparation, recording, writing, approval and publication of meeting minutes
